What happens when someone scans it
An Event QR code encodes a calendar entry in the standard iCalendar (.ics) format that both iOS and Android calendar apps understand natively. A scan shows a preview of the event — title, date, time, location — with a button to add it directly to the guest's own calendar app. No account, app install, or manual typing required on their end.
Step by step
- Open the generator and select the Event type.
- Title — keep it short and clear; this is what shows up in the guest's calendar list.
- Location — a full address works best if it's a physical venue, since many calendar apps turn this into a tappable map link automatically.
- Starts / Ends — pick the date and time. If it's a multi-day or no-specific-time event, use the All-day event toggle instead.
- Description — add anything guests should know: dress code, parking info, an agenda, a link for more details.
- Style and export — SVG for printed invitations, PNG for digital sharing.
All-day vs. timed events
Use a timed event for anything with a specific start (a wedding ceremony at 4:00 PM, a talk at a conference). Use the all-day toggle for things like a multi-day festival or a save-the-date where an exact hour doesn't apply — it keeps the entry from looking like it starts at midnight in the guest's calendar.
Where this works well
- Wedding invitations, printed or digital
- Conference badges and printed agendas
- Event posters and flyers
- Meetup or webinar confirmation emails
